Welcome to Quillcademia. These Terms and Conditions outline the rules, obligations, and limitations governing your use of our academic editing and related services. By submitting a manuscript, creating an inquiry, or engaging with our services, you agree to comply with these Terms.

If you do not agree with any part of these Terms, please discontinue use of our services.

1. Who We Are

Quillcademia provides professional academic editing services to researchers, students, professors, and institutions worldwide. Our mission is to remove language barriers and help authors achieve successful publication in international journals.

We offer two primary editing levels (Basic Editing and Advanced Editing), as well as additional academic support services such as formatting, peer-review response support, proposal assistance, and publication consulting.

2. Definitions

• “Client” refers to the individual or institution submitting a manuscript or using our services.

• “Manuscript” refers to any document submitted for editing or academic assistance.

• “Services” refer to all editing and academic support as described on our website.

• “Editors” refers to Quillcademia’s trained and qualified human editors.

3. Service Description

Quillcademia provides language editing and academic support services, including but not limited to:

• Basic Editing

• Advanced Editing

• Academic formatting

• Peer-review response support

• Proposal and grant application support

• Academic consulting and mentoring

All services are performed exclusively by human editors and undergo a two-step quality review.

4. Human-Only Editing Policy

Quillcademia does not use AI or automated rewriting tools to edit manuscripts.
All editing is conducted by native-speaking academic editors and reviewed by a second editor for quality assurance.

This ensures academic integrity, accurate interpretation, and compliance with journal standards.

5. Manuscript Submission

Clients submit manuscripts via email, after which our team confirms word count, service level, and delivery timeline. We then issue a transparent estimate based on our pricing clusters before the editing process begins.

By submitting a manuscript, you confirm that:

• You are the rightful owner of the content,

• You have permission to share the work with us,

• The manuscript does not violate copyright or contain unlawful material.

6. Turnaround Times

Turnaround times depend on:

• Word count

• Service level (Basic or Advanced Editing)

• Requested speed (standard or express)

Standard timelines are communicated during the estimate process. Express services may incur additional fees.

We make every reasonable effort to meet agreed deadlines but are not responsible for delays caused by:

• Technical issues

• Incorrect or incomplete submission materials

• Client failure to respond to clarification requests

7. Pricing and Payment

Quillcademia uses a transparent pricing structure based on:

• Word-count clusters

• Service level

• Delivery speed

All estimates must be approved before editing begins. Payment terms will be communicated via invoice or service confirmation.

Failure to complete payment may result in:

• Delayed delivery

• Withholding of edited files

• Suspension of future service access

8. Quality Assurance and Limitations

Every manuscript undergoes a two-step review by:

1. A specialized editor

2. A QA reviewer

We guarantee improved clarity, correctness, academic tone, and linguistic accuracy—but we do not guarantee publication, acceptance into journals, or approval by advisors or committees.
Acceptance decisions depend on journal scope, methodology quality, originality, and other factors beyond language quality.

9. Confidentiality

Quillcademia maintains strict confidentiality regarding all manuscripts and client data:

• Editors operate under confidentiality agreements

• Manuscripts are never shared externally

• Documents are used only for editing and internal QA

• Files are stored securely and deleted upon request

We do not use client manuscripts to train AI models or for any secondary purpose.

10. Intellectual Property

The Client retains full ownership of all manuscript content before and after editing.
Quillcademia claims no intellectual property rights over client documents.

You grant us a temporary license to edit, process, and review the manuscript solely for the purpose of providing the service.

11. Revisions

If you identify errors directly related to editing quality, you may request a revision within 7 days of delivery.
Revisions must be limited to corrections of issues within the scope of the service purchased.

Revisions do not include:

• Additional writing

• New sections added after editing

• Major restructuring beyond the chosen service level

12. Refund Policy

Because editing is a time-based professional service performed by human editors, refunds are only issued in cases where:

• Editing has not begun

• A billing error has occurred

• We are unable to deliver the service due to internal issues

Refunds are not provided for:

• A manuscript not being accepted by a journal

• Reviewer criticisms unrelated to language quality

• Client changes of preference after editing is completed

13. Liability Limitation

To the fullest extent allowed by law:

• Quillcademia is not responsible for losses arising from manuscript rejection, publishing decisions, or academic outcomes.

• We do not guarantee acceptance by journals or committees.

• We are not liable for indirect, incidental, or consequential damages.

Our total liability is limited to the amount paid for the specific service.

14. Academic Integrity

Clients are responsible for ensuring that their manuscript complies with academic integrity standards.

Quillcademia:

• Does not write or create research content for clients

• Does not engage in unethical authorship or academic misconduct

• Only provides editing and allowed academic support

15. International Clients

Quillcademia serves researchers worldwide, including institutions and authors in Asia and China as part of our strategic partnerships.

All international clients agree to comply with their local regulations regarding data privacy, submissions, and academic conduct.

16. Governing Law

These Terms are governed by the laws of the jurisdiction in which Quillcademia operates. Disputes will be resolved through appropriate legal channels within that jurisdiction.

17. Changes to These Terms

We may update these Terms periodically. When changes occur, we will update the “Last updated” date at the top of the page.

Continued use of our services constitutes acceptance of any revised Terms.
